Simple, Predictable Pricing

Every standard plan is one establishment fee + flat monthly. The number you see is the number you pay.

Establishment Fee

A one-off fee covering the build—discovery, configuration, training, and go-live support. This is where we build your system from the ground up.

Monthly Subscription

A flat monthly fee covering subscription support, maintenance, updates, and adding new modules within your tier scope. We do not re-quote every time you want a change.

Odoo Licence Fees

Billed by Odoo per Internal User and passed through to you at cost. We never mark them up. Most of your workforce may not need a paid licence—see below.

No setup fees hidden inside the monthly. No “implementation packages” hidden behind sales calls.

ODOO LICENCES EXPLAINED

Who Needs an Odoo Licence?

Odoo charges for Internal Users — people who log in with credentials to use back-office apps like Sales, Accounting, Inventory, Purchase, or CRM. Most operational staff don’t need a paid licence.

Licensed Users (paid per user/month — passed through at cost)

  • Owners, managers, and admin staff using back-office apps
  • Accountants, bookkeepers, and finance staff

  • Operations staff configuring inventory, projects, or purchase orders

Operational Users (no licence required — included free)

  • POS cashiers (operate via session-based PINs, not individual logins)
  • Floor and front-of-house staff clocking in via Attendance kiosks
  • Customers and suppliers using the customer portal

Worked example. A cafe with 50 staff might have only 4 licensed users — two owners doing accounting and reporting, a manager doing rosters and ordering, and a head chef managing inventory. The other 46 staff use POS, attendance, and self-service portals — none of them require paid Odoo licences.

This is why our tier structure has two caps: licensed users (which drives your Odoo licence cost and ongoing support load) and workforce size (which drives implementation complexity — POS terminals, attendance kiosks, payroll integration, training rollout, change management).

We believe in complete transparency. Here is exactly what sits outside your plan so you are never surprised by an invoice.

Odoo licence fees — Billed by Odoo per Internal User and passed through at cost. Operational users (POS, attendance, portal) are free.

Specialised hosting — Standard hosting is included. Dedicated or compliance-driven hosting is scoped separately.

Hardware — POS terminals, label printers, signature pads, attendance kiosk tablets. We help you spec and source them, but they are invoiced separately.

Third-party subscription costs — Stripe processing fees, VOIP costs, SMS gateway charges, and any other vendor costs flow through to you directly.

Custom module development — Quoted per module with a clear scope, build fee, and ongoing monthly maintenance fee.

Data migrations beyond the initial round — Covered by our Data Migration add-ons.

Additional entities, POS terminals, or kiosks beyond your tier — Covered by the relevant add-on.

Complex integrations — Anything beyond our standard library is covered by an Integration add-on or built into Enterprise scoping.

External advisory — Accounting, legal, and tax-filing services. We refer to trusted partners; we don’t bill for licensed advice we’re not registered to provide.

Out-of-hours emergency support — Available on request on Launch, Growth, and Strategic, quoted per incident. Built into the SLA on Enterprise.

Answers to the most common questions about our pricing, inclusions, and support.

How does your pricing work?

We charge a one-off establishment fee to build and configure your system, then a flat monthly subscription for ongoing support and improvements. Odoo licence fees are billed at cost—no mark-up.

My team is large but most only use POS or attendance — do I pay for all of them?

No. Odoo only charges for Internal Users—typically back-office and management staff. POS cashiers, attendance kiosk users, and portal users do not require paid licences. A cafe with 50 staff might have only 4 licensed users.

What is go-live hypercare?

The intensive period immediately after your system is switched on. You get frequent check-ins, real-time process correction, configuration tuning as live data flows in, and reinforcement training. The phase ends with a formal stabilisation sign-off.

What is subscription support?

The steady-state ongoing relationship from go-live sign-off onward, included in your monthly. It covers unlimited support tickets, in-scope configuration changes, new app additions within your tier without re-quoting, user adds, and standard system updates.

Do I own my data and configuration?

Yes. Your Odoo instance, your data, and your configuration are yours. Every customisation is documented in your client space. We can hand the system over to another partner or directly to you at any time—no exit fees, no surprises.

What happens if I outgrow my tier?

You upgrade. We pro-rate the establishment difference for the new scope, your monthly steps up, and we expand the system. No penalty, no re-platform. We credit remaining months against the upgrade.

Do you offer payment plans on the establishment fee?

For Growth and Strategic plans, yes—typically 50% on signing and 50% at go-live. Launch is paid in full on signing given the smaller fee. Enterprise milestones are structured around the discovery and build phases.

What if I want something not listed here?

Tell us. Most things people ask for either fit inside an existing tier, fit inside an add-on, or are an honest “no, that’s outside what we do well.” We’d rather decline cleanly than over-promise. Book a discovery call and we’ll work through the fit with you. If we can do it, we’ll scope it and quote it. If we can’t, we’ll usually know who can.
